Users

There are 3 types of users in JIFFY.ai :

Roles

Roles are assigned on an App basis. Each user in an app can be assigned with different app-specific roles. There are 2 types of roles in JIFFY.ai :

  1. Pre-defined User Roles
  2. Custom User Roles

Pre-Defined User Roles

Pre-defined User Roles are the roles that have their privileges defined in JIFFY.ai during the installation of the JIFFY.ai application. These can be viewed in the User Roles section of the App Settings page of the designer that gets created in the application. The 4 pre-defined user roles are:

Designer

A Designer role has the following privileges:

  • Edit an App and perform all the activities of the App.
  • Assign roles to the users.
  • Business user capabilities which are the default privileges.
  • Import/Export an App.

Release Manager

A Release Manager role has the following privileges:

  • Secure vault management.
  • Configurations management.
  • Add a Business User.
  • Import/Export an App.
  • Add a bot to a cluster.

A release manager has an access to all the functionalities related to the app but only in read-only mode and has access to all the listing pages. The user will not have the edit access and cannot view presentations.

Support

A Support role has the following privileges:

  • Add a Business User.
  • Add a bot to a cluster.

A support user has an access to all the functionalities related to the app but only in read-only mode and has access to all the listing pages. The user will not have the edit access and cannot view presentations. A support user cannot be upgraded from its role.

Business User

A Business User role has the privilege to access, view and edit all the presentations.

Custom User Roles

Apart from the pre-defined roles, a user can also be assigned a custom role if an App requires it.

Approver, Requester, etc.

Adding A Custom User Role

To add a custom role, do the following:

  1. Navigate to the App Settings section of an App.
  2. In the User Roles tab, click on the + icon. Image description
  3. In the Create User Role tab that appears, specify the following details: Image description

    • New User Role: Name of the user role to be created.
    • Select Presentations: Select one or more presentations that the user can have access to.
  4. Click on the CREATE button.

Assigning A Role To A User

To assign the required roles to a user, do the following:

  1. Navigate to the Users section of an App.
  2. Click on the SHARE WITH USERS button. Image description
  3. In the Share with Users dialog box that opens, click on the Role drop-down (1) against the required user. Image description
  4. Select the checkbox next required roles (2). A green tick mark appears next to the selected role and the number of roles selected will be displayed in the field.

    Multiple roles can be assigned to a single user. They be displayed as comma separated values in the Users list.

  5. Click on the ADD USER(S) (4) button to add the users.

    Users with the Tenant admin role is not listed in the Share with Users screen along with other users. Based on the requirements, it can be added if required.

Sharing An App With An User

  1. Navigate to the Users section of an App.
  2. Click on the SHARE WITH USERS button.
  3. In the Share with Users dialog box that opens, click on the checkbox (3) against the required user to share the App with that user.
  4. Click on the ADD USER(S) (4) button at the bottom to add the selected users to the App. The added users will be displayed in the Users listing screen of that App with a checkbox and a More icon against each user.

    If the user selected is a Tenant Admin, then those users will not have the checkbox and the More button against them. The check box can be used to select multiple users to perform any operations upon selected users at one go.

  5. The roles assigned to the users will be displayed as comma separated ones under the Roles column in the Users listing screen.
  6. More users can be added using the Share icon at the top of the Users listing screen.

More Actions For Individual Users

Following actions can be performed by clicking on the More icon against each user:

  1. Change User Role: The user role can be changed from one role to another role or additional roles can be added for that user alone. Clicking on the Change User Role option(1), the Change User Role popup appears where the label as Select Role option lists all the roles created in the Application. Already selected roles for that user will be displayed as checked. Additional or new roles can be selected. Clicking on the SAVE button, the user role changes gets applied to that user.

  2. Remove from App: The user access for that App can be removed. Clicking on the Remove from App option(2), a Do you really want to remove the user from this App popup appears. Clicking on the Yes button, the user gets removed from that App.

    1. The same actions can be performed for multiple users by selecting the checkboxes against each user (3) and clicking on the CHANGE USER ROLE (4) or REMOVE FROM APP(5) buttons at the bottom of the screen.
    2. The users with a higher grade of roles can be downgraded.
    3. Users can remove themselves from any role assigned.
