The Root Admin is a role that gets created in the application during the installation of the JIFFY.ai application. There can be more than one root admins in a system. A new Root Admin can be added to the system by using API definitions when required.

The Root Admin can perform the following actions to manage the Tenants: Image description

Add New Tenant

The Root Admin creates the Tenants and its very first Tenant Admin. To create a new Tenant, do the following:

  1. In the Tenants List dashboard, click on the + icon (1) present on the top right corner of the window.
  2. In the Add Tenant dialog box that appears, specify the following details: Image description

    • Tenant Name: Name of the Tenant.
    • Tenant Admin Username: Username of the Tenant Admin. This is a unique value, specific to a Tenant.

    The Tenant Admin username field will have an info icon which will show a tooltip that says “The Tenant Admin Username must match with the username defined in the LDAP server, if the Tenant Admin chooses to use LDAP Authentication”. This value cannot contain spaces and cannot be blank.

    • Tenant Admin First Name: First name of the Tenant Admin.
    • Tenant Admin Last Name: Last name of the Tenant Admin.
    • Tenant Admin Email: Email ID of the Tenant Admin.
    • Tenant Admin Phone #: Phone number of the Tenant Admin.
    • Sub Domain URL: Subdomains are created to organize and navigate to different sections of the website. A Subdomain is used to uniquely recognize the tenant and hence is specific to a Tenant. It is a keyword that is added to the JIFFY.ai URL so that it becomes unique to the Tenant. The Sub Domain value must be limited to a maximum of 8 to 10 characters.

    In the URL https://example.JIFFY.ai/, example is the Sub Domain.

  3. Click on the SAVE button to create the Tenant.

  4. When the Root Admin adds a new Tenant, an invite is sent to the Email ID of the Tenant Admin using the email configuration details mentioned in the Email section of the Server Settings screen. Image description

  5. When the Tenant Admin accepts the invite, the Tenant gets created in the system.

    • The value of the Invite Status will be Pending until the user accepts the invite.
    • The value of the Invite Status will be Accepted if the user accepts the invite.
    • In case the mail was not received by the user due to some error, the value of the Invite Status will be Mail Sent Error.
    • The email invite can be sent again to the Tenant Admin when the value of the Invite Status is Pending, Mail Sent Error or Expired. The user must click on the More button that is present against the Tenant name and then click on the Resend Email option to resend the invite.

The invite will be valid for a week from the day it is sent. If the invite is not accepted within that period, the invite expires and the invite status is displayed as Expired. In such cases, when the Tenant Admin clicks the ACCEPT INVITATION button in the email, the following error message is displayed on the screen: The ‘ACCEPT INVITATION’ link isn’t working Email Invitation links expires after 1 week if unused.

More Actions

The More menu of the Tenant Admins will have the following options based on their Invite Status.

Invite Status Options
Accepted De-activate, Delete
Mail Sent Error Resend Email, Delete
Pending Resend Email, Delete
Expired Resend Email, Delete

Search Tenants

Click on the Search icon and then type the required keyword to be searched. Tenants are searched based on the text typed in the Search field.

The search string is not case sensitive.

Upon search, the relevant columns with matching string/character are displayed.

If no matching string/characters are found for the searched keyword, then the “No results found” message is displayed.

The searchable items in the Tenants dashboard screen are:

  • Tenant Name
  • Status

Deactivate Tenant

Do the following to remove the tenant from the application temporarily:

  1. In the Tenants List dashboard, click on the More icon (i). Image description
  2. Click on the De-activate option (ii).
  3. In the Deactivate Tenant dialog box that appears, click on the YES button to confirm the deactivation. Image description

Once a Tenant is deactivated, the Deactivate option is replaced with the Activate option in the More icon. To activate the previously deactivated tenant, click on the Activate option when required.

Delete Tenant

Do the following to remove the tenant from the application permanently:

  1. In the Tenants List dashboard, click on the More icon (i).
  2. Click on the Delete option (iii).
  3. In the Do you want to delete a Tenant dialog box that appears, click on the YES button to delete the Tenant. Image description
